Planify 4.20.0 — Nextcloud Deck, CalDAV reminders, productivity goals, and more

Planify 4.20.0 is our biggest release in a while. It brings full Nextcloud Deck integration, bidirectional CalDAV reminder sync, a productivity goals system, GNOME Online Accounts detection, and a long list of features, fixes, and performance improvements. Let’s dive in.

🗂️ Nextcloud Deck Integration

Planify now syncs two-way with Nextcloud Deck. Your Deck boards show up as projects, stacks map to sections, and cards map to tasks — with full create, edit, and delete support in both directions.

Deck sync is opt-in. If you’re adding a Nextcloud/CalDAV account for the first time, Planify scans your account to check whether Deck is available and offers to enable it right there. If you already have an account set up, it stays off until you turn it on manually from the account’s section in Preferences.

  • Boards, stacks and cards sync with title, description, due date, and completion status
  • Labels sync bidirectionally, with automatic color conversion between Planify’s named colors and Deck’s hex values
  • Drag and drop cards between stacks, and even between different boards, with real-time sync
  • Archive boards from either Planify or the Deck web app
  • Order is preserved when you reorder stacks

Since Deck has no subtasks or inbox, those parts of the UI are hidden for Deck projects.

⏰ CalDAV Reminder Sync

Reminders now sync both ways with CalDAV servers (Nextcloud, Radicale) and compatible apps like Tasks.org and Thunderbird, using the standard VALARM mechanism. Set a reminder in Planify and it shows up on your phone — and the other way around. This closes long-standing requests #2529, #1207, and #1410.

📊 Productivity Goals

A new productivity goals system helps you keep momentum:

  • Set a daily and weekly task completion target — fixed, or dynamic based on today’s scheduled tasks
  • A mini widget in the app menu shows your daily progress with a circular progress bar
  • An 8-week activity heatmap in the productivity report gives you the bigger picture

☁️ GNOME Online Accounts Detection

If you already have a Nextcloud or CalDAV account set up in GNOME Online Accounts, Planify now detects it and offers to import it — no need to retype the server URL. A subtle link under the account list opens a sheet of detected accounts, each with an Import button that prefills the setup for you.

✨ More New Features

  • Completed tasks in Today — a new toggle reveals the tasks you finished today, right in the Today view
  • Filters everywhere — the All Tasks view gains full sort and filter controls, and the Completed view gains a project filter
  • All Tasks and Labels as Home View — pick either as your startup view in Preferences
  • Calendar sources page — choose exactly which calendars appear in Planify
  • Deadline quick dates — the deadline picker now offers Tomorrow, In 3 days, Next week, and more, matching the date picker
  • Keyboard project navigation — jump to projects with Ctrl+1–Ctrl+9 and cycle through them with Ctrl+Page Up/Down
  • Smarter date picker — type a date in natural language and Planify parses it for you
  • QuickFind upgrades — search inside descriptions, see the parent project for sections, and a result count footer
  • Repeat from completion date — recurring tasks can now repeat from the day you complete them instead of their due date, per task
  • Better PDF export — long titles wrap, task descriptions and colored labels are included, and emoji render in color

🐛 Bug Fixes & Performance

  • Fixed a crash on startup caused by CalDAV tasks with invalid dates
  • Fixed tasks reappearing after closing the app right after deleting them — pending deletes now survive restarts
  • Fixed the --background flag exiting immediately instead of keeping Planify running
  • Dates now follow your system locale — day-month vs month-day matches your region across tasks, deadlines, events, and the heatmap
  • You can now edit the description of completed tasks
  • Fixed fenced code blocks losing their backticks, and improved link/code contrast in the markdown editor on dark themes
  • Fixed the (No Section) column not hiding when empty in Board view, and the Label view not updating in real time
  • Automatic backup retention — a new “Backups to Keep” setting prunes old backups, and the backup list is now paginated
  • Lower memory usage — smarter view caching, cached item getters, and a cap on cached calendar months

Planify 4.19.2 — Automatic backups, system accent color, CalDAV sections, and more

Planify 4.19.2 is here with a solid set of new features, CalDAV improvements, and bug fixes. Let’s dive in.

💾 Automatic Daily Backups

Backups in Planify just got a lot smarter. You can now enable automatic daily backups that trigger at midnight — powered by the same day change monitor that already drives task reminders and calendar updates.

  • Backups are always saved to the default Planify folder
  • You can configure extra backup locations — point them to a cloud-mounted folder (Nextcloud, Dropbox, etc.) and your data is always safe
  • The backup list in Preferences now shows the 30 most recent backups, with a note pointing to the folder if you have more
  • The Restore Backup view has been redesigned with a clearer layout, a warning banner, and a more explicit restore button

🎨 System Accent Color Support

Planify now follows your GNOME system accent color instead of using a hardcoded blue. Set your accent color in GNOME Settings and Planify will match it automatically. Falls back to the default blue on systems that don’t support it.

📂 CalDAV Section Support

Sections are now fully supported in CalDAV projects. Sections are represented as VTODOs with a List: prefix in the summary — the same convention used by Nextcloud Deck — making them compatible with other CalDAV clients.

  • Create, rename, and delete sections in CalDAV projects
  • Sections sync bidirectionally — changes made in Nextcloud Tasks, Thunderbird, or any other CalDAV client are reflected in Planify after sync
  • Tasks moved between sections sync correctly in both directions
  • Deleting a section also deletes all its tasks on the server

This fixes long-standing issues #1356, #1700, and #1355.

📅 Past Date Selection in Date Picker

The date picker now lets you select past dates — useful for logging overdue tasks or backdating entries. Past days are shown with a dimmed style, today is highlighted as usual, and a floating Today pill button appears when you scroll away from the current month so you can jump back instantly.

📤 Export as .ics for CalDAV Tasks

CalDAV tasks now have an Export as .ics option in their context menu. It exports the original .ics data received from the server — handy for debugging sync issues or sharing tasks with other apps.

📋 Change History Improvements

The per-task change history got several improvements:

  • DEADLINE and PARENT changes are now tracked
  • Replaced the “Load more” button with infinite scroll — history loads automatically as you scroll down
  • Short values (due date, priority, pinned, deadline, parent) now show as chips with old → new arrows
  • Long values (content, description, labels) are expandable with a “See more” button

🔧 CalDAV Fixes

Horde server compatibility: Horde returns HTTP 200 OK instead of 201 Created when creating or updating tasks via PUT. Planify was treating this as an error — now both status codes are accepted. Additionally, Horde sometimes sends multiple VTODOs in a single .ics file (parent + subtask). Planify now handles this correctly so subtasks no longer appear as main tasks.

🐛 Bug Fixes

  • Calendar events not updating after midnight — when Planify was kept open past midnight, the Today view would still show the previous day’s events. Fixed.
  • Labels not removed in multi-select — deselecting a label in the multi-select toolbar had no effect. Also fixed a case where closing the label picker without changes would incorrectly assign labels to tasks that didn’t have them.
  • Inaccurate section counts in Board view — task counters were showing wrong numbers after drag and drop. Fixed.
  • Board view inbox section — the inbox column now auto-hides when it has no uncompleted tasks, matching Todoist behavior.
  • Moving tasks between sources — tasks can now be moved between projects from different sources (e.g. CalDAV → Local).
  • Double sync on new source — adding a new source was triggering two syncs instead of one. Fixed.

🔭 What’s Next

Here’s a glimpse of what we’re actively working on:

  • Nextcloud Deck full compatibility — deeper integration with Nextcloud Deck boards, including better sync and UI support. Follow the progress in PR #2426.
  • Google Tasks support — native Google Tasks integration is on the roadmap, bringing another cloud option for users who live in the Google ecosystem.
  • Local AI integration via Ollama — AI-assisted features like subtask suggestions, project summaries, and smart task descriptions, running entirely on your machine with no API key required. Join the discussion in issue #2467.

Planify 4.19.0 — CalDAV overhaul, GNOME Search, and productivity features

Planify 4.19.0 is our biggest CalDAV release yet. We’ve been listening to your reports and working hard to make sync more reliable across all servers — Nextcloud, Radicale, Vikunja, Posteo, Mailbox.org, and more. On top of that, we’re introducing GNOME Shell search integration, a new productivity dialog, PDF export, and a long list of improvements and bug fixes.

🔍 GNOME Shell Search Integration

Planify now integrates with GNOME Shell search. Press Super and start typing — your tasks and projects appear instantly without opening the app.

  • Search tasks by content and description
  • Search projects by name
  • Tasks show the project they belong to
  • Projects show the number of pending tasks
  • Clicking a result opens Planify and navigates directly to the item

This is one of the most requested features and it works beautifully with the GNOME desktop experience.

📊 Summary & Productivity Dialog

A new Summary & Productivity option in the main menu gives you a quick overview of your work:

  • Summary: total, pending, completed, and overdue task counts with an overall progress bar
  • Productivity: daily and weekly completed tasks tracked against your personal goals
  • Configurable daily and weekly task goals
  • Animated count-up effects for all stats
  • Motivational messages based on your progress

This is Phase 1 of the feature — future releases will bring charts, streaks, and more advanced statistics.

📄 PDF Export for Projects

You can now export any project as a PDF from the project context menu (Export as PDF).

The generated PDF includes:

  • Project name, description, and deadline
  • Tasks with status, due date, priority (color-coded), and deadline
  • Sections ordered by position
  • Subtasks with indentation
  • Automatic page breaks

No extra dependencies — uses Cairo directly.

🔄 Major CalDAV Improvements

This release includes the most comprehensive CalDAV improvements in Planify’s history.

Conflict Detection with ETag / If-Match

Planify now tracks ETags for CalDAV tasks. When you update a task, it sends an If-Match header to the server. If another client modified the same task in the meantime, the server returns HTTP 412 and Planify shows a friendly toast: “Task was modified on another device” with a Sync Now button — instead of silently overwriting changes.

Sync-Collection Fallback

Some CalDAV servers (Posteo, Mailbox.org, Horde, KolabNow, Vikunja) don’t support sync-collection REPORT. Previously this caused incoming sync to silently fail. Now Planify automatically falls back to a full fetch, ensuring two-way sync works on all these servers.

Other CalDAV fixes:

  • Fixed due date not clearing when removed from an external client (Nextcloud web, Tasks.org)
  • Fixed completed subtasks showing as incomplete after sync
  • Fixed duplicate projects when re-adding a CalDAV account
  • Fixed automatic sync not starting after adding a new account
  • Fixed disabled accounts still being contacted during sync
  • Fixed project creation failing on Vikunja (HTTP 200 vs 201)
  • Added PUT+DELETE fallback when MOVE is not supported (Radicale with reverse proxy)
  • Skipped archived projects during sync for better performance
  • User-friendly messages for HTTP 401 (auth expired) and HTTP 429 (rate limiting)

✨ Other New Features

Per-project Markdown Rendering

You can now control markdown rendering per project — override the global setting with Global Default, Enabled, or Disabled from the project edit dialog.

Copy to Clipboard in Multi-Select

The multi-select toolbar now includes a Copy to Clipboard option that copies all selected tasks with full details: priority, due date, deadline, labels, and description.

Asterisk Prefix for Notes

Tasks starting with * (asterisk + space) are automatically treated as notes, hiding the checkbox. Works in real-time while editing and syncs with Todoist.

🐛 Bug Fixes

  • Fixed date picker not visible on small screens (1366×768)
  • Fixed day change not detected after system suspend/resume — now uses precise midnight scheduling and listens to system resume events
  • Fixed date reset when using Keep Adding from Today View
  • Fixed invalid Todoist API token being silently accepted
  • Fixed calendar day alignment and improved CalendarMonth to show 3 weeks ahead
  • Fixed inbox project radio button allowing deselection

🎨 UI Improvements

  • Redesigned CalDAV, Nextcloud, and Todoist token setup pages with consistent header layout
  • Replaced WebKitGTK with external browser for Todoist OAuth — removes WebKitGTK as a dependency
  • Clarified Due Date vs Deadline labels with improved tooltips
  • Filtered labels from archived projects in Labels view and Label Picker

Planify 4.16.0 — Natural dates, smoother flows, and smarter task handling

This release focuses on making Planify smarter, more intuitive, and more predictable — especially when working across multiple backends, scheduling tasks, and using keyboard shortcuts. Version 4.16.0 introduces natural language date parsing, backend consistency fixes, UI refinements, and several highly requested improvements that make everyday task management smoother.

📅 Natural language date parsing

Planify now understands dates the way you naturally think about them. Whether you’re typing a specific timestamp or something casual, the new date processor effortlessly turns your text into structured scheduling — and it’s enabled by default in Quick Add.

If you prefer not to use natural language parsing, you can turn it off anytime from Preferences.

What’s new:

  • ISO 8601 support (2024-12-25, 2024-01-15T14:30)
  • Slash and dot dates (25/12/2024, 31.12.2024)
  • Time detection (14:30, 2:30pm, 3pm)
  • Casual expressions: today, tomorrow, yesterday, now
  • Full month names and variations: March 15, 15 March, January

This new engine is designed to be extensible, powering future language support and smarter interpretations across all parts of Planify.

🇪🇸 Spanish date parsing support

Spanish-speaking users now get full natural language support — not just for basic dates, but for nuanced expressions used every day.

Supported expressions include:

  • Casual: hoy, mañana, ayer, pasado mañana
  • Relative: próxima semana, mes pasado, este año
  • Time of day: por la mañana, en la tarde, por la noche
  • Month names: both accented and unaccented forms

This makes scheduling tasks in Spanish faster, smoother, and far more intuitive.

⌨️ Smarter keyboard control

We’ve refined keyboard interactions throughout Planify to make navigation faster and more intuitive for power users — and added new shortcuts to speed up task scheduling.

Highlights:

  • Ctrl+D now instantly opens the date picker, making it much faster to schedule or reschedule tasks without moving your hands from the keyboard
  • Ctrl+K: New shortcut to toggle Keep adding
  • Ctrl shortcuts (Ctrl+C, Ctrl+V, Ctrl+A) no longer toggle Keep adding unintentionally
  • Shortcuts help popover updated with the new keybindings

These changes make Planify more predictable and keyboard-friendly for fast task entry.

🏷️ Labels in the task context menu

Managing labels is now even faster. A new Labels option has been added directly to the right-click context menu.

This gives you quick access to add, remove, or change labels without opening the full task editor.

📅 Event details popover + meeting integration

Clicking an event now opens a clean, helpful popover with additional details.
For meeting events, Planify also detects:

  • Google Meet links
  • Microsoft Teams links

This makes joining calls from your tasks and events frictionless and obvious.
