Planify 4.19.0 — CalDAV overhaul, GNOME Search, and productivity features

Planify 4.19.0 is our biggest CalDAV release yet. We’ve been listening to your reports and working hard to make sync more reliable across all servers — Nextcloud, Radicale, Vikunja, Posteo, Mailbox.org, and more. On top of that, we’re introducing GNOME Shell search integration, a new productivity dialog, PDF export, and a long list of improvements and bug fixes.

🔍 GNOME Shell Search Integration

Planify now integrates with GNOME Shell search. Press Super and start typing — your tasks and projects appear instantly without opening the app.

  • Search tasks by content and description
  • Search projects by name
  • Tasks show the project they belong to
  • Projects show the number of pending tasks
  • Clicking a result opens Planify and navigates directly to the item

This is one of the most requested features and it works beautifully with the GNOME desktop experience.

📊 Summary & Productivity Dialog

A new Summary & Productivity option in the main menu gives you a quick overview of your work:

  • Summary: total, pending, completed, and overdue task counts with an overall progress bar
  • Productivity: daily and weekly completed tasks tracked against your personal goals
  • Configurable daily and weekly task goals
  • Animated count-up effects for all stats
  • Motivational messages based on your progress

This is Phase 1 of the feature — future releases will bring charts, streaks, and more advanced statistics.

📄 PDF Export for Projects

You can now export any project as a PDF from the project context menu (Export as PDF).

The generated PDF includes:

  • Project name, description, and deadline
  • Tasks with status, due date, priority (color-coded), and deadline
  • Sections ordered by position
  • Subtasks with indentation
  • Automatic page breaks

No extra dependencies — uses Cairo directly.

🔄 Major CalDAV Improvements

This release includes the most comprehensive CalDAV improvements in Planify’s history.

Conflict Detection with ETag / If-Match

Planify now tracks ETags for CalDAV tasks. When you update a task, it sends an If-Match header to the server. If another client modified the same task in the meantime, the server returns HTTP 412 and Planify shows a friendly toast: “Task was modified on another device” with a Sync Now button — instead of silently overwriting changes.

Sync-Collection Fallback

Some CalDAV servers (Posteo, Mailbox.org, Horde, KolabNow, Vikunja) don’t support sync-collection REPORT. Previously this caused incoming sync to silently fail. Now Planify automatically falls back to a full fetch, ensuring two-way sync works on all these servers.

Other CalDAV fixes:

  • Fixed due date not clearing when removed from an external client (Nextcloud web, Tasks.org)
  • Fixed completed subtasks showing as incomplete after sync
  • Fixed duplicate projects when re-adding a CalDAV account
  • Fixed automatic sync not starting after adding a new account
  • Fixed disabled accounts still being contacted during sync
  • Fixed project creation failing on Vikunja (HTTP 200 vs 201)
  • Added PUT+DELETE fallback when MOVE is not supported (Radicale with reverse proxy)
  • Skipped archived projects during sync for better performance
  • User-friendly messages for HTTP 401 (auth expired) and HTTP 429 (rate limiting)

✨ Other New Features

Per-project Markdown Rendering

You can now control markdown rendering per project — override the global setting with Global Default, Enabled, or Disabled from the project edit dialog.

Copy to Clipboard in Multi-Select

The multi-select toolbar now includes a Copy to Clipboard option that copies all selected tasks with full details: priority, due date, deadline, labels, and description.

Asterisk Prefix for Notes

Tasks starting with * (asterisk + space) are automatically treated as notes, hiding the checkbox. Works in real-time while editing and syncs with Todoist.

🐛 Bug Fixes

  • Fixed date picker not visible on small screens (1366×768)
  • Fixed day change not detected after system suspend/resume — now uses precise midnight scheduling and listens to system resume events
  • Fixed date reset when using Keep Adding from Today View
  • Fixed invalid Todoist API token being silently accepted
  • Fixed calendar day alignment and improved CalendarMonth to show 3 weeks ahead
  • Fixed inbox project radio button allowing deselection

🎨 UI Improvements

  • Redesigned CalDAV, Nextcloud, and Todoist token setup pages with consistent header layout
  • Replaced WebKitGTK with external browser for Todoist OAuth — removes WebKitGTK as a dependency
  • Clarified Due Date vs Deadline labels with improved tooltips
  • Filtered labels from archived projects in Labels view and Label Picker

Planify 4.16.0 — Natural dates, smoother flows, and smarter task handling

This release focuses on making Planify smarter, more intuitive, and more predictable — especially when working across multiple backends, scheduling tasks, and using keyboard shortcuts. Version 4.16.0 introduces natural language date parsing, backend consistency fixes, UI refinements, and several highly requested improvements that make everyday task management smoother.

📅 Natural language date parsing

Planify now understands dates the way you naturally think about them. Whether you’re typing a specific timestamp or something casual, the new date processor effortlessly turns your text into structured scheduling — and it’s enabled by default in Quick Add.

If you prefer not to use natural language parsing, you can turn it off anytime from Preferences.

What’s new:

  • ISO 8601 support (2024-12-25, 2024-01-15T14:30)
  • Slash and dot dates (25/12/2024, 31.12.2024)
  • Time detection (14:30, 2:30pm, 3pm)
  • Casual expressions: today, tomorrow, yesterday, now
  • Full month names and variations: March 15, 15 March, January
Natural language date parsing

This new engine is designed to be extensible, powering future language support and smarter interpretations across all parts of Planify.

🇪🇸 Spanish date parsing support

Spanish-speaking users now get full natural language support — not just for basic dates, but for nuanced expressions used every day.

Supported expressions include:

  • Casual: hoy, mañana, ayer, pasado mañana
  • Relative: próxima semana, mes pasado, este año
  • Time of day: por la mañana, en la tarde, por la noche
  • Month names: both accented and unaccented forms

This makes scheduling tasks in Spanish faster, smoother, and far more intuitive.

⌨️ Smarter keyboard control

We’ve refined keyboard interactions throughout Planify to make navigation faster and more intuitive for power users — and added new shortcuts to speed up task scheduling.

Highlights:

  • Ctrl+D now instantly opens the date picker, making it much faster to schedule or reschedule tasks without moving your hands from the keyboard
  • Ctrl+K: New shortcut to toggle Keep adding
  • Ctrl shortcuts (Ctrl+C, Ctrl+V, Ctrl+A) no longer toggle Keep adding unintentionally
  • Shortcuts help popover updated with the new keybindings

These changes make Planify more predictable and keyboard-friendly for fast task entry.

🏷️ Labels in the task context menu

Managing labels is now even faster. A new Labels option has been added directly to the right-click context menu.

This gives you quick access to add, remove, or change labels without opening the full task editor.

📅 Event details popover + meeting integration

Clicking an event now opens a clean, helpful popover with additional details.
For meeting events, Planify also detects:

  • Google Meet links
  • Microsoft Teams links

This makes joining calls from your tasks and events frictionless and obvious.

Planify 4.15.1 — A smoother, more focused experience

This release focuses on improving how you write, navigate, and interact with your tasks — while making Planify feel smoother and more delightful. From a completely redesigned Markdown editor to satisfying animations and smarter workflows, version 4.15.1 brings meaningful improvements to your daily task management experience.

📝 A new Markdown editor

We’ve completely rebuilt the Markdown editor from the ground up, creating a lightweight, distraction-free writing experience tailored specifically for Planify.

What’s new:

  • Intuitive formatting toolbar: Select any text and a contextual popover appears instantly with formatting options
  • Rich text support: Bold (text), italic (text), strikethrough (text), inline code (code), headers (# H1, ## H2), and clickable links
  • Smart list continuation: Press Enter in a list and Planify automatically continues it — both for bullet points (•) and numbered lists (1., 2., 3…)
  • Live preview: See your formatting applied in real-time as you type, with Markdown syntax elegantly hidden
  • Spell checking: Built-in spell checker powered by libspelling keeps your writing error-free
  • Keyboard-first design: Format text without lifting your hands from the keyboard
  • Link management: Ctrl+Click to open links, or click to edit them with a dedicated URL editor

The editor intelligently handles complex formatting combinations (like bold + italic + strikethrough) and makes editing formatted text feel natural and effortless.

Progress tracking just got a lot more satisfying. Instead of static bars, progress now animates smoothly as you complete tasks, giving you instant visual feedback on your accomplishments.

What makes it special:

  • Smooth animations: Progress bars move naturally and fluidly as you complete tasks
  • Celebration effect: When you hit 100% completion, the circular progress bar performs a delightful “squeeze” animation with a bounce effect

These animations aren’t just eye candy — they provide meaningful feedback that makes completing tasks feel more rewarding and helps you stay motivated throughout your day.

🌍 Translation progress & Weblate integration

Planify is now fully integrated with Weblate, making it easier than ever for the community to contribute translations and help bring Planify to users worldwide.

What this means for you:

  • Translation metrics: See translation progress for your language directly in Preferences (updated every 24 hours)
  • One-click contribution: Jump straight to Weblate from within Planify to start translating
  • Community-powered: Join translators from around the world working on 80+ languages
  • Transparent progress: Track completion percentages and see which strings need translation

Introducing Focus Mode — a game-changing feature that helps you concentrate on one task at a time without distractions.

How it works:

  • Single-task focus: When you open a task, it expands to show all details while keeping everything else minimized
  • Click-to-dismiss: Simply click anywhere outside the focused task to close it and return to your list
  • Keyboard support: Press ESC to exit focus mode instantly
  • Smart defaults: Enabled by default for new users, but fully customizable in settings
  • Distraction-free editing: Edit task details, add subtasks, set reminders, and manage attachments without visual clutter
  • Multi-selection compatibility: ESC key intelligently exits either focus mode or multi-selection mode depending on context

This feature was one of the most requested by the community, and it’s designed to help you maintain flow state while working through your tasks. Whether you’re planning your day or diving deep into a complex project, Focus Mode keeps you centered on what matters most.

⌨️ Smarter keyboard navigation

We’ve refined keyboard interactions throughout Planify to make navigation faster and more intuitive for power users.

Keyboard improvements:

  • ESC key intelligence: Context-aware behavior that closes focused tasks, exits multi-selection mode, or dismisses popovers
  • Quick Add enhancements: Improved keyboard navigation when selecting projects and labels — arrow keys, Enter to confirm, and Tab to move between fields

Right-click functionality has been expanded throughout Planify, giving you instant access to creation and management actions wherever you need them.

New context menu locations:

  • Sidebar: Right-click in the sidebar to quickly create new projects, sections, or filters
  • Project view: Right-click within any project to add tasks or sections on the spot

📥 Custom Inbox project

One of the most requested features is here: you can now choose any project to act as your default Inbox, giving you complete control over how you capture and organize incoming tasks.

What’s new:

  • Flexible Inbox selection: Choose any local or synced project as your default Inbox
  • Quick capture destination: Tasks created via Quick Add or keyboard shortcuts go directly to your chosen Inbox
  • Source visibility guarantee: Planify ensures at least one source (Local, Todoist, Nextcloud, or CalDAV) remains visible at all times for reliability
  • Seamless migration: Existing users’ Inbox settings are preserved during the update
  • Visual indicator: Your selected Inbox project is clearly marked in the interface

This feature is perfect for users who want to integrate Planify into existing workflows, use a specific project for task capture, or maintain separate Inboxes for different areas of life (work, personal, etc.).

🧭 Improved drag & drop smoothness

We’ve completely overhauled the drag-and-drop experience to make organizing tasks feel more natural and responsive, especially when working with long project lists.

Improvements:

  • Adaptive scroll speed: As you drag a task toward the top or bottom of a list, scrolling automatically accelerates smoothly
  • Natural acceleration curve: Scroll speed increases progressively based on how close you are to the edge
  • Precise control: Slow, controlled scrolling when you’re near your target, faster movement when traversing long lists
  • Visual feedback: Clear drop indicators show exactly where your task will land
  • Cross-section dragging: Seamlessly move tasks between sections within the same project

These refinements make reorganizing large projects feel effortless, whether you’re doing a quick reorder or a major restructuring of your task list.

🐞 Bug fixes & stability improvements

This update includes important fixes that improve reliability and data integrity across the board:

Critical fixes:

  • Sidebar crash fix: Resolved a crash that occurred when reordering views in the sidebar
  • CalDAV improvements: Fixed issues with reading and parsing multiple CalDAV tasks simultaneously
  • Label management: Corrected label deletion behavior when removing a source to prevent orphaned labels
  • Filter handling: Fixed problems with spaces in sidebar filter names that caused display issues
  • Event sync reliability: Resolved event update synchronization issues with calendar integrations

This release represents hundreds of hours of development, testing, and community feedback. But we’re just getting started! Here’s what’s currently in active development:

The new version of Planify comes with some of the most requested features, important bug fixes, and performance improvements to make your experience smoother than ever.

📅 CalDAV Support

Thanks to the great work of @byquanton, we’ve completely rewritten the CalDAV backend.
Planify now works seamlessly with Radicale, Baïkal, and other servers that follow the CalDAV standard.
This was one of the most requested features (issue #1149) and it’s finally here.

  • Faster and more robust backend.
  • Stable connections even with invalid TLS certificates (optional).

🧹 Reduced Memory Usage

With the help of @markochk, we were able to identify and fix several memory leaks:

  • Memory was not properly released when completing or deleting tasks.
  • A leak was fixed during CalDAV synchronization.
  • We introduced a new cache system for views: unused views are released after some time and rebuilt when needed, automatically freeing memory.

Quickly access new task views such as:

  • Tomorrow
  • Anytime
  • Repeating
  • Unlabeled
  • All Tasks

You can customize which views to show, and switch between a compact list view or a more detailed one.

🔄 Improved Synchronization

Another highly requested feature: Planify now respects task order when syncing with Nextcloud or Todoist.
We also added a new algorithm that allows task reordering without affecting performance, ensuring consistency across platforms.

🖥️ Moving Closer to Other Platforms

Thanks again to @byquanton, work is in progress to make WebKit and Evolution dependencies optional.
This will pave the way for Planify to run on Windows and macOS in the future.

🌟 Other Improvements

  • Spell checker support in task descriptions.
  • Fixed a bug when moving tasks with subtasks in Nextcloud/CalDAV projects.
  • Updated themes (light, dark, dark blue) and overall design improvements.
  • Labels and indicators for notes, reminders, and subtasks are now aligned to the right of each task for better readability.
  • New quick-add button in every task list.
  • Beautiful new animation when completing tasks.
  • New sound and a notification when completing tasks (to avoid confusion when tasks “disappear”).

🔮 Looking ahead to Planify 4.15

With the new CalDAV backend ready, we’ve started exploring some ideas for upcoming releases:

  • Google Tasks integration to expand synchronization options.
  • Natural language date recognition, making it easier to set due dates as you type.
  • An improved Markdown editor for a smoother writing experience.

These are not fixed goals yet, but areas we’d love to explore with the help of the community and new technologies. Stay tuned! 🚀
